Medallia Pricing: Medallia Cost Per Year, Medallia Pricing Plans and the Medallia Pricing Model From Its Government Price List

Medallia prints no price on its website, but its public government schedule lists every package. Here is the Professional Edition ladder, what costs extra, what buyers actually sign, and how to negotiate.

Medallia prints no price on its website, but it does publish a price list. Its public government schedule lists Medallia Professional Edition at $20,000 a year for 5,000 completed surveys, $35,000 for 25,000, $49,000 for 50,000, $74,000 for 100,000 and $168,000 for 500,000, each with up to 100 users. Advanced features cost $10,000 to $675,000 a year on top. Commercial buyers pay a median of $13,338 a year across 32 purchases in Vendr's data, but the range runs to $112,044 and enterprise programs go well past it.

How much does Medallia cost?

Go to medallia.com/pricing and you will find a page titled "Transparent, Flexible Pricing" with no number on it. It explains the Experience Data Record model, lists what is included, and asks you to talk to sales. That is the page most Medallia pricing articles stop at, which is why so many of them guess.

There is a better source. Medallia sells to US federal, state and local agencies, and public-sector contracts have to carry a price list. Medallia's price schedule for the NASPO ValuePoint cooperative contract, filed in 2021, states that it is "an exact copy" of its pricing on the General Services Administration schedule, contract GS-35F-267DA. It lists the same figure in the GSA column and the NASPO column for every SKU. It is a list price, it is public, and Medallia wrote it.

Two caveats before you use it. The document is from 2021, so treat the numbers as a floor for what the same package costs today, not a current quote. And government schedule prices are ceilings for agency buyers, who can and do negotiate below them. As an anchor for a commercial conversation, it is still the only list price Medallia has ever published in full.

Medallia pricing plans: the Professional Edition ladder

The entry product on the schedule is Medallia Professional Edition. Every tier includes up to 100 users, up to 2 reporting roles, up to 2 unit types, up to 50 million characters of machine translation a year, and 40 hours a year of enterprise managed services. The only thing that changes between tiers is the number of completed surveys a year.

The ladder is steep at the bottom. Five times the volume from Tier 1 to Tier 2 costs 75% more, and at Tier 5 each completed survey costs less than a tenth of what it costs at Tier 1. If your volume sits near a boundary, price the tier above. Going from 25,000 to 50,000 surveys adds $14,000 a year, which is a smaller step than most buyers expect.

For context, a $20,000 entry point is already more than most mid-market survey tools charge for a full year. Vendr puts the median AskNicely contract at $8,935 and the median Delighted contract at $5,388. Medallia's cheapest published package is an enterprise purchase.

The Medallia pricing model: what an Experience Data Record is

Medallia's commercial pricing is built on one unit, the Experience Data Record, or EDR. An EDR is all the data from one discrete interaction between a customer or employee and your company: a survey response, a call transcript, a chat, a piece of digital feedback. You buy an annual tier of EDRs, and the pricing page says analytics, workflows, security features and unlimited users are included in that price.

Here is the part worth noticing. The same pricing page says pricing "based on survey response volumes or number of users is obsolete." The Professional Edition price list prices on exactly that: annual completed surveys, with a 100-user cap. Both can be true, since the EDR model covers the full Experience Cloud and Professional Edition is a packaged entry product. But it tells you what to ask for. If a rep quotes EDRs, ask how many completed surveys that equals in your program, and whether a survey-based Professional Edition package would cover you for less.

What costs extra on top of the platform

The schedule lists seven tiers of Advanced Features, priced separately from the platform. The low tiers cover things like productized integrations, text analytics, Journey Analytics and Athena AI. The higher tiers add open text analytics, Medallia Conversations and the Adobe Analytics integration.

Professional services are billed by the hour, from $110.59 for a junior system administrator to $392.14 for a senior subject matter expert. The 40 hours of managed services included in Professional Edition do not go far on an implementation, so budget for services separately. Third-party estimates put Medallia implementations at $50,000 to $200,000 for enterprise programs, which fits those hourly rates.

Website intercept surveys are their own line. If your program depends on on-site feedback, a 1 million visit site adds $30,900 a year to the platform price, so a Tier 2 Professional Edition program with web feedback starts at $65,900.

What buyers actually pay for Medallia

List prices are where negotiation starts. For what commercial buyers sign, Vendr, which negotiates software contracts on behalf of companies, publishes a median Medallia contract of $13,338 a year based on 32 purchases, with a range from $6,739 to $112,044.

That median is below the $20,000 government entry price, which looks odd until you remember what Vendr's sample contains: mostly mid-market software buyers, some on smaller packages or discounted first years. Other estimates circulating online put large enterprise Medallia programs in the hundreds of thousands a year. Both can be right. Medallia sells a modest survey package to a regional company and a multi-channel program to a national bank, and the spread between them is wider than for almost any tool in the category.

The practical takeaway: if you are a mid-size US company buying one survey program, a first-year quote above the Tier 2 list price of $35,000 deserves a hard look. If you are buying speech analytics, digital feedback and several business units, the Advanced Feature tiers are where the money goes.

Medallia vs Qualtrics on cost

Qualtrics is the other name on almost every Medallia shortlist, and it does not publish a price either. Its customer experience products are sold on committed usage with rates blended by SKU. Vendr's Qualtrics data covers 321 purchases, with a median of $30,000 a year and a range from $7,000 to $139,920. Buyers saved 11% against the first quote on average.

On those numbers, the typical Qualtrics contract is larger than the typical Medallia one, though the ranges overlap almost entirely. The better comparison is structural. Both sell unlimited users, both meter data volume, and both charge extra for advanced analytics. How to negotiate a Medallia contract

  • Bring the public price list. A vendor's own published schedule is a stronger anchor than any analyst estimate. Ask the rep to map their quote to the Professional Edition tier that matches your survey volume.
  • Convert EDRs to surveys. Get the quote in completed surveys or interactions a year, and compute cost per record against the ladder above.
  • Separate the Advanced Features. Ask which tier each requested capability sits in. Text analytics at Tier 1 is a $10,000 decision; Medallia Conversations at Tier 2 is a $35,000 one.
  • Cap the services. Get implementation hours and rates in writing. At up to $392 an hour, an open-ended services line can outgrow the license.
  • Fix the renewal. Ask for a price cap at renewal and a written rate for growth in EDRs. Many buyers run their contract through a procurement platform so the renewal date, the cap and the approval trail sit in one place instead of in someone's inbox.

What Medallia does not tell you

Medallia is very good at collecting feedback across every channel and routing it to the right team. What it does not see is how the customer who left the comment actually used your product. A detractor who says "the export keeps failing" is a score and a theme. Whether that failure hit 30 accounts or 3,000, and whether those accounts churned, sits in your product usage and support tickets.

Does Medallia publish its prices?

How long is a Medallia contract?
